Office 2007 lets you convert your documents, spreadsheets and PowerPoint presentations to PDF–optimized for online documents, printed documents, or both. Before you can convert your document to PDF format, you need to download and install the support for PDF and XPS from the Microsoft Web site. (Be sure you have an active Internet connection so you can download the support for PDF and XPS.) Now follow these steps:

  1. In Word 2007, go to Word 2007 Help, type PDF in the Search box, and then press [Enter].
  2. Scroll to and click Enable Support For Other File Formats, Such As PDF And XPS.
  3. Under “What Do You Want To Do?” click Install And Use The Publish As PDF Or XPS Add-In From Microsoft.
  4. When the Web page displays, click Microsoft Save A PDF Or XPS Add-In For 2007 Microsoft Office Programs.
  5. Follow the instructions to download the add-in.

To save a Word 2007 document as a PDF file, open the document and follow these steps:

  1. Click the Microsoft Office button, move to Save As, and click PDF Or XPS.
  2. Click the Options button to set Bookmarks, designate whether you want to save a part of the document or the entire document, and/or exclude document elements from the file. Click OK.
  3. Click the appropriate button for Standard or Minimize optimization.
  4. Click Publish.

You can follow these same steps to convert your spreadsheets and PowerPoint files to PDF.

Microsoft Excel


Use Excel 2007′s built-in RANDBETWEEN functionExcel 2007 includes the RANDBETWEEN function, which allows you to quickly add sample data to your worksheets. (In previous versions of Excel, this function was available only after you installed the Analysis Tool Pack add-in.)

For example, say your worksheet contains a list of 14 customers in Column A and their corresponding purchases in Column B. Follow these steps to use the RANDBETWEEN function to add sample data to Column B:

  1. Click in Cell B2 and enter =RANDBETWEEN(0,100).
  2. Drag the fill handle at the bottom right corner to cell B15.

The sample data will remain in the worksheet until you close it. When you reopen the worksheet, Excel will recalculate the function and display new sample data. To prevent Excel from recalculating the values, follow these steps:

  1. Select B3:B15.
  2. Press [Ctrl]C.
  3. Click on the Home tab.
  4. Click Copy in the Clipboard group.
  5. Click Paste.
  6. Click Paste Values.
  7. Press [Esc].

Microsoft Access


Easily print multiple copies of an Access report You often need to print five copies of an Access report for meetings. To save time, you can create a command button that will print the copies for you. Follow these steps:

  1. Open a new form in Design view.
  2. Click the Command Button tool in the Toolbox.
  3. Click and drag in the form where you want the tool.
  4. Click Cancel to close the Command Button wizard if necessary.
  5. Right-click the command button and select Properties.
  6. Click in the Caption property box under the All tab and enter Print Employee Report.
  7. Click the Event tab and click the On-Click property box.
  8. Select [Event Procedure] from the drop-down list.
  9. Click the Build button.
  10. Enter the following code at the prompt:
DoCmd.SelectObject acReport, "Employees", True 

DoCmd.Printout ,,,,5
  1. Press [Alt]Q.

Now when you need to print out five copies, simply click the Print Employee Report command button in your form.
